Use email to text Members, Contacts,
Staff or Volunteers with a Cell Phone Number
If you have Members, Contacts, or Staff/Volunteers who have a cell phone but not an email address,
know that there is a way to send emails to those phones that get sent like text messages. You will need
to know what cell carrier that they have.
When you know the cell carrier, look in the chart below for the MMS value to use to create the email
address. Add the record with a type of “Email” (or “E-mail”, depending on your Member Tracking
System
TM
value). Do this for all Members, Contacts, Staff/Volunteers you want to send a text to.
Examples: If an AT&T user has a cell phone number of 727-726-2240, you would add an email
address of 7277262240@mms.att.net.
If a T-Mobile user has a cell phone number of 727-555-1234, you would add an email address of

After all your numbers have been added, click Procedures, choose the Export E-mail Addresses for
Members (or Contacts or Staff/Volunteers, depending on what you are trying to export) tool to export
the emails from Member Tracking System
TM
to an Excel spreadsheet. Save the Excel file as a CSV.
Make groups in your email program to send to the Members or Contacts or Staff/Volunteers regarding
club information. Below are the instructions for you to import the email addresses, and to make groups
in Outlook, Gmail, & Yahoo.
1) For Outlook: To import a list of email addresses, click File, click Open & Export, click
Import/Export, Choose Import from another program or file, click Next, choose Comma
Separated Values, click Next, click Browse to find the CSV file you saved above. Choose Do
not import duplicate items, click Next, Select a destination folder, Choose Contacts, click Next,
click Map Custom Fields and drag the values from the spreadsheet to the fields on the right to
match, click OK, click Finish.
To email-to-text to a group of people at once, you can use Contact Groups inside Outlook. To
add a new Contact Group, navigate to My Contacts, and select New Contact Group.
You can add newly imported contacts to an existing Outlook Contact Group by selecting that
Contact Group in the My Contacts section and clicking Add Members.
Then you can pick the Contact Group when emailing, instead of selecting individual addresses.
2) For Gmail:
To import the file of email addresses, go to Google Contacts. At the left, click Import. Click
Select File. Choose your file. Click Import.
Creating Groups in Gmail is a little more involved, but you can go to
https://contacts.google.com/ and create your groups so when you compose the email you can
use what you made. If you are having issues creating groups, you can go to this site and it will

3) For Yahoo:
To import the file of email addresses, click the Contacts icon in Yahoo Mail. Select the File
Upload option and click on the Import button. Select the CSV file to upload.
In Yahoo you can go to Contacts and select Create a List. There you can create your List
(group) of people you want to email to. You can also go to this website and it will walk you

Note that the instructions to Import CSV files and to create and use Contact Groups can change
depending on your version of the email program. Instructions can often be found online.
